Ministry of Health reminds providers of new monthly attendance report for hospital staff
Healthcare providers must send their first monthly attendance report for medical staff delivering hospital care to the relevant regional branch of the National Health Fund (NFZ) by December 20, 2026, covering November 2026. The duty stems from a Ministry of Health regulation signed on August 25…

What providers must submit
According to the Ministry of Health, the regulation amending the general terms of healthcare service contracts introduces a monthly register of attendance for medical staff working in hospital care (Komunikat dla świadczeniodawców przypominający o wejściu w życie nowego obowiązku sprawozdawczego – Ministerstwo Zdrowia). The first statement covers November 2026 and is due at the regional NFZ branch by December 20, 2026.
Scope of the duty
The obligation applies to all providers offering hospital treatment, across every scope of services within that category. The ministry says data can be entered directly in the SZOI / Provider Portal or transmitted automatically through data exchange services between a provider's own system and the regional NFZ system.
Related NFZ technical materials
The NFZ has published an XML CZPR format, version 1.0.2, for transmitting information on the actual working time of medical personnel to regional NFZ offices (Komunikat dla świadczeniodawców i twórców oprogramowania – format XML CZPR w wersji 1.0.2 – Narodowy Fundusz Zdrowia). According to the NFZ, data can be delivered through the regional office's web services, by importing an XML CZPR file into the SZOI / Provider Portal, or by entering it manually in the portal. An XLSX import function is planned for later, with changes made available on the NFZ test and production environments on November 30, 2026.
Other obligations in the same period
Separately, the NFZ has reminded providers of their duties when accepting orders for medical devices, including checking that an order is still valid and, where relevant, the patient's age, since it can affect funding limits (Komunikat dla świadczeniodawców - wyroby medyczne – Narodowy Fundusz Zdrowia). Providers must also record the patient's entitlement to healthcare services and document the identifying details of that entitlement.
The Agency for Medical Technology Assessment and Pricing has also started collecting data on pay of staff in facilities contracted with the NFZ, covering September 2026 and January to September 2026, and has extended the data scope to include PESEL numbers or, where absent, identity document details and medical licence numbers (Komunikat Agencji Oceny Technologii Medycznych i Taryfikacji o pozyskaniu danych – Ministerstwo Zdrowia).
What it means for providers
For hospitals and other facilities providing inpatient care, the December 20 deadline is the first practical test of the new monthly staffing report. Providers that have not yet connected their systems to the regional NFZ offices will need to use the portal for manual entry and should check the technical documents before the deadline. The new reporting duty adds to existing administrative requirements, but the ministry has not indicated any direct impact on patient care or hospital operations beyond the data submission itself.
